Action Against Hunger USA is part of the Action Against Hunger International network. As an independent NGO, Action Against Hunger USA currently manages operations in 8 countries: Kenya, South Sudan, Somalia, Tanzania, Uganda, Ethiopia, Zambia and Haiti.

 

I. Job Summary

Senior O365/Information Systems Admin manages Action Against Hunger-USA ‘s key collaborative platform, NHF (SharePoint Office 365) and will oversee all Information Systems implementation and integration. Responsibilities include maintaining and delivering every key resource on time within budget and scope.

Purpose: The Senior O365/Information Systems Administrator plays a critical role in ensuring the stability, functionality, and strategic advancement of Action Against Hunger-USA’s digital infrastructure. This role exists to manage and optimize the organization’s key collaboration platform—NHF (SharePoint Office 365)—while overseeing the implementation, integration, and maintenance of all core Information Systems. The position supports seamless collaboration, data accessibility, and efficient workflows across global teams.

Engagement: Actively engages with internal departments, country offices, IT teams, and leadership to understand business needs, gather system requirements, and ensure platform solutions are aligned with organizational goals. Partners with Program, HR, Finance, and Operations teams to support information systems that enhance productivity, knowledge sharing, and data integrity. Coordinates with third-party service providers and Microsoft support as needed to ensure optimal performance and timely resolution of issues.

Delivery: Manages NHF (SharePoint Office 365) as the central hub for collaboration, document management, and team communication, ensuring up time, accessibility, and user satisfaction. Leads or supports the design, deployment, and integration of new tools and technologies that improve efficiency and align with organizational objectives. Delivers key IT and IS initiatives on time, within budget, and within scope, including defining project plans, tracking milestones, and managing risk. This role will also ensure all systems are secure, updated, and compliant with internal policies and external standards. Provides training, troubleshooting, and ongoing support to users. Maintains proper documentation, enforces data governance standards, and ensures compliance with IT policies and procedures.

II. Essential Job Duties

1. Develops project scopes and objectives, involving all relevant stakeholders and ensuring technical feasibility

  • Solicit client requirements through interviews, workshops and / or existing systems documentation or procedures.
  • Understand the functions provided by the systems.
  • Evaluate business requirements for applications and systems integration, activation, while delivering new or modified system enhancements and/or integration solutions.
  • Perform detailed analysis resulting in clear, concise, and unambiguous system requirements.
  • Identify areas where technology can lead to increased efficiency and productivity.
  • Ensure requirements are understood, agreed to and signed off at the appropriate stage in a project.

 

2. Ensure efficient project implementation

  • Develop and distribute detailed project plans to track progress and keep stakeholders informed through regular communication.
  • Ensure resource availability and allocation.
  • Use appropriate techniques to manage changes in project scope, schedule and cost.
  • Manages the relationship with the internal clients, external service provider (when needed).
  • Ensure project requirements are fulfilled and establish traceability with detailed documentation.
  • Set priorities providing leadership and direction in support of project objectives.
  • Assume accountability for the development and delivery of the technical project.
  • Develop technical solutions that align to the organization´s strategic goals and objectives for employee communications and engagement.
  • Participates, animates and ensures regular meetings and provides updates to relevant stakeholders.
  • Reviews, evaluations and reports on progress, issues and performance.

 

3. NHF (Intranet Specific)

  • Communicate with the users to ensure the platform is designed to meet the needs of the organization (HQ + Field).
  • Responsible for designing/creating and /or updating content on the site and developing new functionalities; migrates previous data from old sites to the new sites.
  • Define the architecture, administration, and integration of developments into the platform.
  • User access and security permissions for the field: design scheme of groups to organize and assign permissions to the sites.
  • Solve complex business problems using technical skills, creativity and ability to solutions within the platform.
  • Model and adapt new functions, workflows, forms, CSS design customizations and applications.
  • Transform requirements into a functional analysis and participate during their implementation by supporting configuration of site/s structure and steering capacity building among all the stakeholders.
  • Give advice on strategic goals and objectives for the platform.
  • Responsible for the development, maintenance and production support of applications related to SharePoint.
  • Provide direction, guidance and best practices expertise knowledge.
  • Discovery, design, development, testing and deployment of features and functionality.
  • Carry out the maintenance of the platform, provision of technical support to the HQ and field.
  • Partner with a team of technical and non-technical resources to develop valuable tools and content for divisions and departments within the organization.
  • Continuously research, confirm and incorporate new approaches and tools to grow platform value.
  • Coordinate with fellow HQ teams involved in mission swap.

 

4.Programs Information Management System – Specific

  • Work closely with stakeholders to develop, deploy and maintain information system platforms effectively.
  • Provide technical expertise and advice on risk, opportunities, and ways of working.
  • Establish relationships with the provider and key engineers to ensure organizational needs are being met by the system.
  • Integrate the current systems with future developments.
  • Help create and deploy governance plans.

 

III. Other duties as required

  • Contribute to the overall IT strategy and budgeting.
  • Participate/ propose and work on IT Project Management development tools and processes for ACF USA (manual, governance, procedures, etc.).
  • Backs up to NY Office Network / Systems, as per required.
  • Prepares and shares work plan.

VI. Physical Demands

  • While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within short time frames under stressful situations in the context of a moderately noisy office with interruptions.

VII. Working Conditions, Travel and Environment

  • The duties of the job require regular job attendance at least five days per week. Must be available to work outside normal office hours or on the weekends as required by contact with the missions, mission security, or other obligations.
  • Must be able to travel as required for standard domestic and international business travel as well as to the missions if appropriate. While visiting the field, the employee may be exposed to precarious settings under high security risks and/or very basic living conditions and outside weather conditions, as well is to infectious diseases.

  • 5 - 7  year relevant experience
  • Power BI Experience
  • Cyber and Data Security Experience
  • BS Computer science engineering or related Field

 

X. Required Skills & Experience

  • Proven experience in IT Project management
  • Solid technical background, with understanding / hands on experience in software development and web technologies / SharePoint
  • Excellent people facing and communication skills
  • Solid organization skills including attention to detail and multi-tasking
  • Preferred ACF ISP Project management experience
